Important Disclaimer
- •Uninterrupted service availability or uptime
- •Real-time data synchronization across all devices
- •Protection against network failures or internet outages
- •Data integrity if the application crashes or your connection drops
Your Responsibility
You assume all risk of using this application for your event. We strongly recommend:
- Maintain paper scoresheets as a backup at all times
- Export and backup scores regularly (available on the Results page)
- Test the app before your event with a mock setup
- Have a contingency plan if the application becomes unavailable
Privacy & Data Collection
What We Collect
- •Judge Information: Name, email, table/seat assignment
- •Team Data: Team names, ticket numbers, categories
- •Scores: Raw scores, weighted calculations, timestamps
- •Activity Logs: Actions performed, timestamps, IP addresses
How We Use Your Data
- •Operating the scoring system and calculating results
- •Maintaining audit logs for compliance and dispute resolution
- •Improving the application (anonymized usage patterns only)
- •Sending transactional emails (receipts, password resets, etc.)
Third-Party Sharing
We do not sell, rent, or share your data with third parties except:
Payment processing (PCI compliant)
Application infrastructure & data protection
Only if legally required by court order
Data Retention & Deletion
Critical: Cancellation Policy
Data is permanently deleted 3 days after cancellation.
This deletion is irrecoverable — even if you re-subscribe using the same credentials, your previous event data cannot be restored. Export all results before cancelling.
While Subscribed
All event data — teams, scores, judge assignments, results, and audit logs — is securely retained and accessible for the lifetime of your active subscription.
Data You Can Request Deleted
- •Judge names and email addresses
- •Personal identifying information in audit logs
Anonymized scores may be retained for historical accuracy records.
Audit Logs & Transparency
Every action is logged for compliance and dispute resolution, including:
Event organizers can access audit logs from the Admin Setup → Results page to verify the integrity of their event.
Acceptable Use Policy
By using PitScore BBQ, you agree not to:
- •Use the app for any unlawful or fraudulent purpose
- •Manipulate or forge scores (judges assign their own honest scores)
- •Interfere with the operation of the application
- •Attempt to access unauthorized areas of the system
- •Share your event code or judge credentials with unauthorized users
- •Attempt to reverse-engineer, copy, or redistribute the platform
Subscription & Payment Terms
No Refunds
Monthly subscription charges and event credit purchases are non-refundable once processed.
Event Credit Policy
Event credits are non-refundable once the associated event has gone live.
Go Live Lock
Once an event goes live, its name is permanently locked and cannot be changed under any circumstances.
Monthly Renewal
Subscriptions auto-renew monthly. One new event credit is added on each successful renewal.
